Material Specs

Poets & Writers Magazine accepts PDF, TIF, EPS, Quark, and InDesign files. Please see the sections on each format. Electronic files can be sent via e-mail, FTP, or on disk. We also accept camera-ready copy, but encourage advertisers to send ads electronically whenever possible.

Ads must be received by the Advertising Department on or before the materials date. Advertisers who send late copy may be charged a fee of $75.

All Ads:

Borders: All ads must have a border.

Size: Please make sure your ad conforms to the exact dimensions required. Improperly sized ads are one of the most common problems we encounter.

Eight page horizontal

3 1/4" x 2"

Quarter page vertical

3 1/4" x 4 3/16"

Third page vertical

2 1/8" x 8 13/16"

Half page horizontal

6 11/16" x 4 3/16"

Full page

6 11/16" x 8 13/16"

Full page-full bleed

7 3/4" x 10" (trim), plus add 1/8" all around


Linescreen/Resolution:
All ads must be created with a resolution of 300 dpi or linescreen of 120.

Electronic Ads:

Proofs: Poets & Writers is not responsible for errors in advertising copy without an accompanying proof. We strongly recommend that you send a printed proof with your ad copy. Four-color advertisers must mail a four-color proof.

Images: Line art should be scanned at 1200 dpi and saved as a bitmap image. Gray halftones should be scanned at 300 dpi and saved as a grayscale image. Color halftones should be scanned at 300 dpi and saved as a CMYK image (NOT RGB.)

Fonts: We advise using Type 1 fonts. When sending a Quark or InDesign document, you must include all fonts. For PDF files, fonts must be embedded.

Acceptable Formats: We accept PDF, TIF, EPS, Quark and InDesign files. No other file formats are acceptable.

TIF: Image files saved in the .TIF file format rarely have problems. Please flatten layers before sending. Black and white ads should be in grayscale mode. Color ads should be CMYK. When creating an ad in Photoshop, your new document's resolution should be initially set to 1200 dpi. This prevents text distortion. Placed Image Resolution: 300dpi.

PDF: PDF files must be created with a full version of Adobe Acrobat Distiller. If you do not have access to a full version of Acrobat Distiller, it is likely your PDF will not meet our specifications and will not be usable.

Under Job Options in Distiller, please make sure the Embed All Fonts box is checked. Under Settings/Job Options, please make sure Color Management is turned off. This will ensure that your original color settings are preserved.

Black and white ads should be in grayscale mode. Color ads should be CMYK. Resolution of images: 300dpi.

EPS: Black and white ads should be grayscale. Color ads should be CMYK. Resolution: 300dpi. To convert your ad to grayscale in Illustrator, go to Edit and Select All, then go to Filters, Colors, and select Convert to grayscale. Font issues in EPS files can be avoided by outlining your fonts.

QUARK: When creating a Quark file you cannot send fonts that use the Quark attribute bar to bold or italicize. You should, instead, select a bold or italic font. For instance, rather than using the font Janson and then using the attribute tool to bold it, you must select the font Janson Bold. To check to make sure all your fonts are acceptable, click on Utilities and select Usage. All fonts should appear as follows: Janson Text<<Plain>>, MrsEavesBold<<Plain>>, NOT MrsEaves<<Bold>>.

Please ensure that all borders, fonts, boxes, and images are black (K only) or grayscale.

Quark document and files must be placed in a folder and compressed. You must include all fonts and all art files that are in the ad. Place all fonts in a separate folder. Then, it is usually best to put everything in one main folder before compressing and e-mailing.

INDESIGN: Indesign files must include all fonts and images. The most effective way to do this is to formally package the ad. In Indesign, click the File dropdown and select Package. Check the boxes to Copy Fonts and Copy Linked Graphics.

Please ensure that all borders, fonts, boxes, and images are black (K only) or grayscale.

Submitting Materials:

All ad materials must be received on or before the advertising deadline. Advertisers who send late copy may be charged a late fee of $75. If you think you will have trouble meeting our deadline, please contact the ad department at 212.226.3586 x 219, and we will let you know the latest date we can accept material.

 

ELECTRONIC SUBMISSIONS:

Sending ads via e-mail: Ads should be e-mailed to adcopy@pw.org. Remember to include the advertiser's name, the name of the person who reserved the ad, and the name of the individual to contact if there are problems with the ad file. If your ad file is over 6MB, it may be best to FTP the ad.

Naming: All files MUST be named with the proper extension (e.g. .qxd, .eps, .pdf, etc.). Mac users must add the extension manually.
